AI Adoption for Business: Audit, Rollout, Rules

IDEA helps small and mid-sized companies put AI into their team's daily work: we review processes, choose the tools that fit, roll them out and set clear rules of use. It is for owners and managers whose people already try ChatGPT on their own, without a shared approach or rules for company data. The result is a defined set of AI tools, a working rollout in the teams that benefit most, and rules everyone understands.

Where most companies are today

People already use AI at work: someone drafts emails in ChatGPT, someone else summarises documents, a third person avoids it entirely. Results vary, nobody knows which tasks it helps with, and client data ends up in tools no one has approved.

AI adoption turns this into a decision: which tasks, which tools, which rules, and who is responsible.

What the work includes

  1. Process audit. We interview the teams and list recurring tasks: how long they take, how often they repeat, and where AI can reasonably help. The output is a short list of priorities, not a long wish list.
  2. Choice of tools. For each priority we compare options: general assistants, AI features inside tools you already pay for, or a custom agent. We take into account cost, data handling and what your team will realistically use.
  3. Rules of use. A clear, short policy: which data may go into which tool, what must be checked by a person, how results are labelled, who to ask.
  4. Rollout. Pilot in one team, then expansion. Accounts, prompts and templates for the agreed tasks, set up and tested on real work.
  5. Training. Practical sessions for the people who will use the tools. See Team training.
  6. Review. After rollout we measure the result in saved person-hours and their cost, and in the share of routine processes that are now automated.

Stages: assessment of your requirements, calculation of the scope of work, agreement with you, deployment of the infrastructure and, if needed, training. The whole process takes from 1 to 3 months. The price is individual and is set after the assessment.

How we decide what is worth doing

A task is a good candidate when it repeats often, follows a recognisable pattern and has a result a person can check quickly. Tasks that need judgement, carry legal risk or happen twice a year usually stay with people. We say so in the audit rather than automate for the sake of it.

When it goes beyond a chat assistant

Some tasks need AI connected to your systems: a CRM, a document store, a reporting stack. These are built as workflows and agents, described on Marketing automation.

Who it is for

  • Owners of small and mid-sized companies who want a clear answer on where AI fits in their business.
  • Managers whose teams already use AI informally and need rules and shared tools.
  • Marketing and digital teams that want to start with their own function first.

Any niche. For large organisations we prepare a separate scope.

Questions and answers

How do I start using AI in my company?

Start with a list of recurring tasks and pick two or three where AI can help and a person can quickly check the result. Choose tools for those tasks, write simple rules on what data can be used, run a pilot in one team, then expand. That is the order our process follows.

How much does it cost to implement AI in a small business?

The price is individual and is set after we assess your project and what you want to implement. The main factors are the number of teams involved, whether off-the-shelf tools are enough or custom agents are needed, and how much training is required.

Which AI tools should a small company use?

It depends on the tasks. Often a general assistant with a business plan and the AI features inside tools you already use are enough. Custom agents make sense when AI needs access to your own data or systems. We recommend tools after the process audit, not before.

Is it safe to put company data into ChatGPT?

It depends on the plan, the settings and the type of data. Part of our work is setting rules that state which data may go into which tool and which must not.

Do we need an AI usage policy for employees?

If people already use AI at work, yes. A short policy prevents client data from ending up in unapproved tools and makes sure AI output is checked before it reaches a client. We write it with you as part of the rollout.

How long does AI adoption take?

The process audit and first results take from 1 week to 1 month. The whole process, through to deployment, takes from 1 to 3 months.

What is the difference between AI adoption and marketing automation?

AI adoption is about people: which tools they use, for what and under which rules. Marketing automation is about systems: workflows and agents that run without manual steps. Many companies start with adoption and move on to automation for the tasks that prove worth it.
